Sending a New Proposal


How to Create and Send a Proposal in Smarter Launch

This article walks you through creating and sending a proposal from start to finish. For a walkthrough video, see the related resource linked below.


βœ… Step 1: Start a New Proposal

  • In the left-hand sidebar, click Start New Proposal. If the sidebar is collapsed, click the plus button icon

πŸ“ Step 2: Proposal Details + Customer Search

Location

  • Select your location.

    • If you only have one location, this step is automatic. If you have multiple, you'll need to choose one before proceeding.

Choose your Proposal Template

  • Choose a proposal template from the list (e.g., Liquid Termite Treatment Proposal Template). You can add additional services on the next step.

Add your Customer to the Proposal

CRM Search

Use the dropdown to search and pull in a customer directly from your CRM (Your CRM must be connected to Smarter Launch)

If the customer is already in Smarter Launch, use the dropdown to search for them

Manually Add the Customer

Click the plus button to add the customer.

  • If CRM connected, this will add them to your CRM

    NOTE: Make sure they aren't already in your CRM or you may create a duplicate

Edit a Selected Customer

Edit the selected customer's details by clicking the edit button

If CRM connected, click the dropdown after making your edits and click sync to update the changes in your CRM

Optional Proposal Detail Steps

Set your Proposal Expiration Date

  • Set an Expiration Date.

Expiration Date Notes:

  • Don't leave this blank β€” a blank expiration date will cause the proposal to expire immediately.

  • Customers can't sign an expired proposal.

  • Customers can still view an expired proposal.

  • You can update the expiration date at any time

  • Update the Proposal Title

  • Add Tags (must be preset in Settings > Custom Settings > Tags)

  • Customize the introduction.

    • The introduction appears at the top of the proposal and can be pre-filled from your template or written fresh.

  • Start a drawing at this step (you can also add or edit drawings at any point during the process).

After filling out the proposal details in Step 1, click Save and Continue.


🏷️ Step 3: Select Service Plans and Set Pricing

This step is where you define what services you're pitching and at what price.

Add Additional Services to a Proposal (If necessary)

  • Your selected template will include default services. You can add more on the fly (e.g., add Monthly Pest Control alongside a termite treatment).

  • Answer any additional questions required by each service (e.g., linear footage, property type).

  • Review flat rate pricing options for any optional add-ons like an annual warranty.

Adjusting Any Pricing or Pricing Option Details (If necessary)

  • Based on your answers, dynamic pricing may be applied automatically.

  • To edit a line item, click the three dots (β‹―) to the right of the item and select Edit Line Item. You can adjust price, billing schedule, service schedule, and more.

  • A strikethrough price will display to the customer when you decrease a price (indicating a discount). If you increase a price, no strikethrough is shown.

  • Use the + button to add additional line items, or the gear icon for advanced options.

Control How the Customers Interact with the Proposed Services

  1. Click Allow Customer to Toggle if you want to give the customer greater control over which services they want to move forward with. Otherwise, turn this off to lock in all items on the proposal.

  2. When allowing the customer to toggle services, choose one of three states:

    • Empty star β€” Optional (customer sees an unchecked checkbox)

    • Filled star (one click) β€” Recommended (pre-checked, labeled "Recommended"; customer can deselect)

    • Locked β€” Required (customer cannot deselect)

Tip: If all services are set to optional and the customer deselects everything, the proposal will show $0. Make sure to lock in or recommend at least your core services.

Click Save and Continue.


πŸ“‹ Step 4: Complete Forms (Only applicable if the template had a form)


✨ Step 5: Finalize Proposal Details

  • Cover photo: Click the cover image area to upload a photo β€” such as a picture of the property. On mobile/tablet, you'll be prompted to take a photo or choose from your library.

  • Service descriptions: These are typically pre-filled from your template, but you can edit them or add images and videos for each service.

  • Inspection photos: Upload photos by dropping them into the inspection photos section, or add them through the drawing tool by double clicking on a finding

  • Drawing tool: Click Add to create a new drawing. You can use satellite view, auto-draw, or manually draw your structure. Double-click any finding on the drawing to add a photo and notes. You can add multiple drawings as needed.

  • Attached documents: Your template or selected services may include pre-attached documents (e.g., a consumer notice PDF). You can also add more from the Media Hub.

  • Screen recording: If you have a pre-recorded video or MP4, you can upload it here. See the next step for recording live.

When finished, click Save and Preview.


πŸ‘€ Step 6: Preview Your Proposal

Take a moment to review the full proposal as your customer will see it:

  • Scroll to the pricing section and confirm the services, prices, and interaction settings look correct.

  • If you're with the customer in person, they can sign the proposal right here at this step.

To record a walkthrough (recommended):

  • On mobile, this will open your camera so you can walk through the property and narrate the proposal.

  • On desktop, this will start a screen recording of the proposal. You can choose whether to show your face or screen only.


✈️ Step 7: Send your Proposal

  1. Click Send Proposal in the upper right.

  2. Confirm or update the recipient's email address. You can add or remove recipients and adjust the subject line and email body.

  3. If SMS is enabled, switch to the SMS tab to preview and customize the text message.

  4. Click Save and Send, review the preview, then click Confirm and Send.
