πŸš€ Creating a new proposal template

To create a new proposal template go to Proposals > Templates > Select New Proposal Template

Helpful Tip: select the three dots to the left of a current proposal template and click Duplicate if you would like to retain the settings and layout of an already created template.


πŸ“ Proposal template details and introduction section

Proposal template title

This is the internal and customer facing proposal title name

Proposal template display name

If you have an internal name for a proposal that differs from the name you would like the customer to see, use this field.

Service plans

Designate which service plan(s) are added to this proposal template by default

Proposal expiration type:

Select which type of expiration date method to use

  • Custom: allows you to select a default date in days

  • End of month: will always expire at the end of the current month

Default proposal expiration (days)

If using the custom expiration method, allows you to set the number of days in the future that the proposal template will expire

When a proposal expires, the customer can still view the proposal but will be unable to accept and sign it.

If a customer would like to sign an expired proposal, the team member would need to go back into the proposal overview > click edit proposal > go to step 1 of the proposal > adjust the expiration date > click save and continue > re-share the proposal.

Introduction field

This text editor allows you to set a default introduction to the proposal template

  • The team member will be able to make changes to the introduction during proposal creation

  • There are variables that can be inserted via the variable insertion button in the upper right of the introduction section.


πŸ’ͺ Advanced settings for proposal templates

Attach proposal as PDF when sent to customer

Instead of only being able to download the PDF of the proposal from the web view, this option makes the PDF of the proposal available as an attachment in the proposal email that is sent to the customer.

Include internal notes field

This displays a notes section on step 2 of proposal creation that will store internal / team member notes only. These notes will not be customer facing and will not show up on the web version of the proposal or the PDF version

The notes within internal notes will also push to FieldRoutes if the following are you true:

  • Your Smarter Launch account is integrated with FieldRoutes

  • You have the "push internal notes" option selected in the FieldRoutes integration under Settings > Integrations > FieldRoutes,

Enable "accepted" pop-up

This displays a pop-up window to the customer after they have accepted & signed the proposal. The window will display any content that you define. Typically this is used as a thank for accepting and statement about what the customer can expect next.

Exclude proposal template from reporting

This option excludes the proposal template from appearing in reporting data. An example would be an inspection only proposal template that is never used for proposing a treatment or service.

Custom CSS for a proposal template

Allows you to define customer CSS to change the styling of the proposal template. We do not currently offer custom styling for the proposal PDF.


πŸ“‹ Adding forms to proposal templates

How to add a form to a proposal template

  1. Navigate to the proposal template that you would like to add a form to

  2. Go to the Forms section of the proposal template

  3. Select Add Form

  4. Select the form you would like to add and hit Select

  5. After adding the form, Expand the forms section by clicking the arrow on the right

  6. Select who will be filling out the form (team member or customer) and whether or not the results of the form will be made available for the customer to view on the web and PDF version of the proposal.

  7. If you want all customer to view form results you will also need to turn on the Inspection Results section. This is where the questions and answer of the form will display.

  8. If the form that you added is also mapped to a PDF, such as a state required or customer PDF form, you will also want to ensure that the document is either appended or prepended to the proposal PDF by navigating to the Attached Documents section and selecting an option of either append or prepend.

✍️ Editing and adjusting proposal template sections and settings

Proposal template sections dictate where specific elements of a service plan or agreement will display on the proposal template. The name, and sidebar navigation name, of each section can be changed, some sections can be moved around to create a new layout, some sections can be turned on or off, and many have additional settings or configurations available.

Moving and turning on/off proposal template sections

To move a proposal template section, simply grab the three bars on the left side a section and move it around.

The following proposal template sections can not be moved:

  • Cover header photo section

  • Introduction section

  • Proposal title section

  • About section

To turn a proposal template section on or off, click the checkbox to the right of the section. Green meaning it is turned off. Blank meaning it is turned off and will not display.

Cover header photo section

By default, the cover header photo that was uploaded under Settings > Company will display on all proposals (unless changed during proposal creation). To set a new default for a specific template, you can upload a cover header photo in this section.

Introduction section

This section differs from the introduction section in the proposal template details. This is section lets you know where the introduction will be placed but additionally you can do the following:

  • Rename the introduction section

  • Turn sidebar reviews on or off via the checkbox that says Display Customer Reviews in Sidebar

  • Add a Notice Banner

    • This banner is typically used in states like Georgia or Florida (for example) when you need to add a statement at the top of the first page of your proposal surrounded by a bold border/box. Example screenshot:

Proposal title section

This section displays the title of the proposal template. You can change the name and sidebar menu name of this section.

About section

This section displays the About Us section which is found under Settings > Company. You can change the name and sidebar menu name of this section.

Reviews section

This section displays an accordion style section of reviews that customers can scroll through. You can change the name and sidebar menu name of this section.

Service description

This section displays the service plan description that is set within the service plan settings. You can also do the following:

  • Add an image for branding or to better describe the service

  • Add a video for branding or to better describe the service

  • Change the name and sidebar menu name of this section

  • Show or hide the service plan description and only show media

If you do deselect Display Service Plan Title / Description, you will only see the image or video and not the service plan description.

Key features section

This section displays any of the pests treated icons that are added to a service plan. You can change the name and sidebar menu name of this section.

Many customers change the name of this section to be Protected Against or Covered Pests

Inspection photos section

This section displays any inspection photos added to a proposal. You can also do the following:

  • Change the name and sidebar menu name of this section.

  • Attach a description set that was pre-defined under Settings > Custom Settings > Description Sets.

    • This allows you to have predetermined descriptions for your inspection photos that are selectable by the team member during proposal creation.

Drawings section

This section displays the diagram/drawing. You can also do the following:

  • Change the name and sidebar menu name of this section

  • Select a category of drawing symbols to narrow down the list of drawing symbols available while using the drawing tool

  • Change the layout of how the drawing is displayed

Findings section

This section is primarily used for California WDO integrated accounts. See our California WDO documentation for more details.

Pricing section

This section displays the pricing for the service plans and line items displayed on the proposal. You can also do the following:

  • Change the name and sidebar menu name of this section

  • Allow customer to toggle pricing options by default

  • Combine pricing groups under service plans by default

  • Display additional details by default

    • These details are answers to custom fields

  • Expand additional details by default

    • Collapsed by default if not checked

  • Display product by default

  • Display pests treated by default

  • Display Wisetack financing (if integration enabled)

  • Require PestPac payments by default (if integration enabled)

Attached documents section

This section displays any attached documents or form PDFs. You can also do the following:

  • Change the name and sidebar menu name of this section

  • Toggle whether or not the file will be attached (appended or prepended) to the proposal PDF

  • Toggle whether or not a file will be automatically attached to a proposal.

    • If toggled off, the team member has to select the file during proposal creation

  • Toggle whether or not the file will be attached to the proposal email that is sent to the customer

Service agreement section

This section displays your service agreements that are attached to your service plans. Service agreements are created under Settings > custom settings > service agreements. See how to create service agreements here. You can also do the following in this section:

  • Change the name and sidebar menu name of this section

  • Add service agreement confirmations

    • These are checkboxes that the customer would acknowledge when accepting the proposal

    • They can be set as required or optional by toggling the lock on the right after creation

  • Add a suffix or prefix to your service agreements

Accept & Sign section

Displays the accept & sign button so that a customer can accept & sign a proposal

If you turn of the Accept & Sign section, a customer will not be able to accept the proposal.

Service & Billing schedule section

This section displays the service and billing schedule visual in the proposal. You can change the name and sidebar menu name of this section.

Screen recording section

This section displays the proposal screen recording or inspection video. You can change the name and sidebar menu name of this section.


πŸ‘‹ Default message section of proposal templates

This section allows you to create a default subject and body for your proposal template. We highly suggest using the data variables. These variable can be found in the upper right hand corner of the subject and body sections and can be used for auto-inserting information such as customer name, address, proposal title, team member information, and much more!
