Workflow Tracking

Tags are custom labels you create and apply to proposals to keep your work organized.

Whether you manage dozens of proposals a week or hundreds, tags provide a fast, flexible way to categorize, search, and filter proposals without changing how proposals are structured.

Common uses include categorizing proposals by:

  • Type (Residential, Commercial)

  • Scheduling Status (Completed, Needs Scheduled)

  • Priority (High Priority, Follow Up)

  • Campaign (Spring 2025, Referral, Online Coupon)

  • Customer Type (New, Existing)

  • Any other grouping that matches your workflow


⚙️ Managing Tags in Settings

Navigate to: Settings → Custom Settings → Tags

This page shows all tags your company has created, including names and descriptions.

You can:

  • Search by name or description

  • Sort by any column

  • Paginate through results

Creating a Tag

  1. Click Add Tag.

  2. Enter:

    • Name (required) — Up to 30 characters, must be unique within your company

    • Description (optional) — Up to 100 characters

  3. Click Save.

Editing a Tag

Click the edit icon on any tag to modify its name or description.

The same uniqueness and length rules apply.

Deleting a Tag

Click the delete icon and confirm.

A tag cannot be deleted while it is applied to any proposal. Remove it from all proposals first, then delete it from the library.


➕ Applying Tags to Proposals

You can assign tags when creating or editing a proposal, or manage them anytime from the proposal’s tags dialog.

On step 1 of proposal creation you can apply a tag to the proposal via the Tags Dropdown

Applying or Removing Tags from the Proposal List View

To update tags in the Proposal List View:

  1. Go to Proposals > View Proposals

  2. Make sure you have the Tags Column turned on and arranged in the position to best view the column

    1. Go to the Column Manager

    2. Turn on Tags and move arrange it however you'd like

  3. Now you can Add or Remove Tags as needed from the proposal list view

Tags and Duplicated Proposals

When you duplicate a proposal, its tags are copied automatically to the duplicate.

Multiple tags can be a applied to a single proposal


👀 Filtering Proposals by Tags

To filter by one or more tags:

  1. Open the Filters panel on the proposal list view.

  2. Select one or more tags in the Tags filter.

  3. The list updates to show proposals that match any selected tag.

Tags in Custom Reporting

When configuring custom reports, you can filter results by tag.

This allows focused reporting, such as:

  • Only proposals tagged “Commercial”

  • Only proposals tagged “High Priority”

Tag filtering in reports works the same way as in the proposal list.


👩‍💻 Tag Management Permissions

  • View tags: All roles

  • Create, edit, delete tags: Owners, Admins, Managers, Team Supervisors

Standard users can view the tag library and apply existing tags to proposals, but cannot create, rename, or delete tags.


❓ Frequently Asked Questions

Can I apply more than one tag to a proposal?

Yes. There is no limit to how many tags you can apply to a single proposal.

Can two tags have the same name?

No. Tag names must be unique within your company.

What happens if I delete a tag from the library?

You cannot delete a tag that is applied to any proposal. You must remove it from all proposals first.

If I duplicate a proposal, do the tags carry over?

Yes. Tags are copied automatically to the duplicate.

Can I use tags to filter the proposal list?

Yes. Use the Filters panel in the proposal list and select one or more tags.

Is there a limit to how many tags I can create?

No. There is no enforced limit on the number of tags per company.


🛠️ Troubleshooting

Issue: Can’t delete a tag

What to check:

  • The tag is applied to one or more proposals

  • Remove it from all proposals, then delete it

Issue: Tag name won’t save

What to check:

  • Ensure the name is 30 characters or fewer

  • Ensure the name is not already in use

Issue: Tags not appearing in proposal filters

What to check:

  • Confirm tags exist in Settings → Custom Settings → Tags

Issue: A duplicated proposal should have different tags

What to check:

  • Tags are copied automatically during duplication

  • Edit the tags on the duplicated proposal after creating it
