Teams are groups of users within your company that reflect how your organization is structured.
You might organize teams by:
Territory
Service type
Office location
Division or crew
Once teams are created and users are assigned, Smarter Launch uses this structure to:
Filter proposals
Scope dashboards
Control data visibility (for certain roles)
Drive automation logic
Teams are optional. Users do not need to be assigned to a team. However, for companies with multiple crews, branches, or divisions, teams help keep work organized and separated.
Managing Teams in Settings
Navigate to: Settings → Custom Settings → Teams
This page displays all teams your company has created. You can search by name, sort results, and paginate through the list.
Creating a Team
Click Add Team.
Enter a Name (must be unique within your company).
Click Save.
Editing a Team
Click the edit icon next to a team to rename it.
Team names must remain unique across your company.
Deleting a Team
Click the delete icon and confirm.
When a team is deleted:
All users assigned to that team have their team assignment cleared.
Users remain active in your account.
Proposals and data are unaffected.
Teams support soft deletion, so an administrator can restore them if needed.
Assigning Users to Teams
Team assignment is managed at the user level.
Navigate to:
Settings → Team Members
To assign a team:
Find the user.
Click Edit.
Select a team in the Team field.
Save changes.
Important details:
Each user can belong to only one team at a time.
Team assignment is optional for most roles.
When inviting a new user, you can pre-assign their team during the invitation process.
The Team Supervisor Role
The Team Supervisor role is designed for leads or supervisors who need to manage their team without having full company-wide access.
A Team Supervisor:
Sees only data for their assigned team
Views only proposals owned by users in their team
Can manage team members (create, edit, deactivate users within their team)
Can reassign proposals between team members
Can view and export proposals for their team
Important:
A Team Supervisor must be assigned to a team.
Without a team assignment, visibility scoping will not function correctly.
For all other roles, team assignment is primarily used for filtering and organization and does not restrict visibility unless explicitly filtered.
Filtering Proposals by Team
The proposal list includes a Team filter.
To filter by team:
Open the Filters panel.
Select a team in the Team filter.
You may also filter by a specific Team Member. Filters can be used independently or together. Active filters appear as chips at the top of the list and can be removed individually. Team Supervisors automatically have team-level filtering applied and cannot view proposals outside their assigned team.
Teams in Dashboards and Reporting
Dashboard reports can be filtered by team.
This allows you to:
View revenue by team
Compare proposal volume across teams
Analyze close rates per group
Each dashboard configuration stores its selected team filter, allowing managers and supervisors to maintain separate team-specific views.
Teams in Automations
Automations support team-based conditions and triggers.
You can configure automations to:
Fire only when the assigned user belongs to a specific team
Route tasks differently for different teams
Send notifications based on team ownership
If a user has no team assigned, team-based automation filters will not match for that user.
Teams in Customer Generated Proposals
Customer Generated Proposal templates support team-based assignment.
You can configure routing so that self-generated proposals are distributed only to members of a specific team. This ensures incoming leads are automatically routed to the correct group.

Create, edit, delete teams: Owners, Admins, Managers
Manage team members within their team: Team Supervisors
Standard users can view the team structure but cannot create, rename, or delete teams.
Frequently Asked Questions
Can a user belong to more than one team?
No. Each user can belong to only one team at a time.
Does a user need to be assigned to a team?
No. Team assignment is optional for most roles. Users without a team assignment will not appear in team-filtered views.
What happens to a user’s proposals if their team is deleted?
Nothing changes. The user’s team assignment is cleared, but their proposals remain intact.
Can a Team Supervisor see proposals from other teams?
No. The Team Supervisor role automatically restricts visibility to their assigned team.
Can I move a user from one team to another?
Yes. Edit the user under Settings → Team Members and select a new team. The change takes effect immediately.
What happens if I use team filters in an automation and a user has no team?
The automation will not trigger for that team member because they do not match the team condition.
