Purpose
Service and Billing Schedules are vital in structuring service plans and their associated pricing groups. In Smarter Launch, schedules provide clarity on how and when services are delivered and billed, ensuring both service providers and clients have a transparent understanding of the timing and type of services.
Types of Schedules
In Smarter Launch, there are two primary schedule categories:
Billing: This type of schedule determines when a client will be billed. For instance, if a service is provided monthly but billed quarterly, the billing schedule will outline those quarterly billing dates.
Service: This schedule sets the actual dates or intervals when the service will be provided. For instance, a pest control service might be scheduled every two weeks.
Requirements for Creating Schedules
When setting up a new schedule, you'll need to provide the following details:
Name: A unique identifier for the schedule.
Type: Choose between 'Billing' or 'Service' based on the schedule's purpose.
Terms: Define the interval or frequency - options include days, weeks, months, or years.
Units: Specify the number of terms. For example, "2" units of "weeks" would mean every two weeks.
Description: This is auto-generated based on the terms. If you select "Weekly", the description will automatically reflect that.
Enabled Service Months: By default, all 12 months are enabled. However, you can customize the schedule by selecting specific months. For instance, if a service is only available in summer, you might only enable June, July, and August.
Visits: This only appears when the schedule type is 'Service'. It indicates how many times the team will visit within the defined schedule period.
Rules for Managing Schedules
These rules are applied on a per-company basis within the Smarter Launch application. While each company must adhere to these rules within its own settings, the rules do not extend across different companies.
No Duplicate Names: Each schedule name should be unique to avoid confusion for each schedule type.
It's possible to have the same name but on a different schedule type.
Unique Schedule Terms and Months: You can't have two schedules with the same terms and the same enabled months.
Unique Service Schedules: For schedules of type 'Service', ensure there's no duplication with the same enabled months, the same number of visits, and the same terms.
No Deletion When in Use: If a schedule is tied to an active service plan, it can't be deleted. This ensures there's no disruption in ongoing services.
