🤔 What Does the Cali WDO Add-On Do?

The California WDO integration provides a complete digital workflow for WDO inspections, including:

  • Standardized WDO inspection forms embedded directly in proposals

  • Automatic report numbering per location

  • State-compliant report file generation in DCA fixed-width format

  • Email delivery of compliance files to designated recipients

  • Notice of Completion forms for documenting completed work

  • Multi-location support with separate license numbers and report numbering per branch


🛠️ Admin Setup For California WDO

1. Initial Setup for Cali WDO

You must be an Owner access role to adjust integration settings

Before using the integration, configure it under: Settings → Integrations → California WDO

Required Fields to Configure

  • License Number: Your company’s state-issued license number.

  • Starting Report Number: The number from which auto-incrementing will begin (default: 1).

  • Delivery Email: The email address that will receive compliance report files.

  • Email Subject / Body: Optional customization for report delivery emails.

Multi-Location Setup

Companies with multiple branches can configure:

  • Unique license numbers per location

  • Separate report number sequences

  • Separate delivery email addresses

2. Create/Add your Cali WDO codes

  • Go to Settings > Custom Settings > Description Sets

  • Click add description set in the upper right corner

  • Give your description set a name such as Cali WDO Codes

  • Click add option to add a new code

  • Give the code a title (e.g. 102, or BORA1 - Preventative Treatment)

    • Should be descriptive enough for an inspector to be able to search for it easily

  • Add a code description (or many)

    • Click add description option to add more

  • Add a code recommendation (or many)

    • Click add recommendation option to add more

  • Click Save Changes

Code titles, descriptions, and recommendations can be edited during report creation.

3. Create at least one default service plan

Every proposal template requires at least one service plan to be attached by default, and a California WDO enabled proposal template is no different.

  • An example would be a service plan for the inspection fee (e.g. WDO Inspection)

  • You could also pre-attach several service plans that you use most often for treatment (e.g. Fumigation, Wood Repair, etc...)

4. Create a Cali WDO Inspection Proposal Template

When using a California WDO-enabled proposal template, the integration works automatically when the template is selected by the inspector:

  1. A California WDO form is embedded in the proposal.

  2. The inspection date auto-populates with today’s date.

  3. A report number is automatically assigned.

Create the Cali WDO proposal template

  • Create a new proposal template under Proposals > Proposal Templates > New Proposal Template

    • Give it a title

    • Set an expiration date

    • Set location access

    • Add your service plan(s)

🚨 Add the Cali WDO Form to the proposal template

Adding the Cali WDO form to the proposal template is a critical step. If don't add the form, the Cali WDO integration will not function when selecting this template.

In the proposal template click add form

Choose the California WDO form (you do not need to select the notice of completion form) and click select

Scroll down to the Findings section and ensure that it's enabled

Now expand the finding section and do the following:

  • Choose your output template

    • 5 form

    • 11 form

  • Choose your labeling method

    • Categories

    • Section

  • Make any adjustments to the default colors of the finding symbol (optional)

  • Toggle on or off whether you want the finding section to be expanded by default in the web view of the proposal/report. (optional)

  • Add in your default findings introduction (pre-notes)

  • Add in your default findings summary (post-notes)

  • Add any selectable pricing descriptions (optional)

    • One per line

  • Attach your Cali WDO codes / description set to the template

  • Make any other template adjustments you would like, including a default subject and body for the proposal/report email.

Hit Save Changes


🗂️ Generating Compliance Report Files

After proposals have been sent and accepted, owner and manager access roles can generate state-required compliance files.

Only reports/proposals that have been "Sent" are generated in the report

Steps to generate your Cali WDO report file

  1. Navigate to Settings → Integrations → California WDO

  2. Select a date range

    • Defaults to the last 7 days

    • Maximum look-back: 90 days

  3. Optionally filter by company location

  4. Click Generate Report

What the System Does

  • Collects all proposals with WDO forms submitted within the date range

  • Groups them by company location

  • Generates a DCA-compliant fixed-width text file for each location

  • Packages the file(s) into a ZIP archive

    • Emails the report to configured delivery address(es) every 7 days (Sunday)

    • Or you can generate the report directly in the app

Downloading a WDO Report for an Individual Proposal

On any proposal containing a WDO form, authorized users will see the following options when they click in to the proposal overview of a sent report

  • Download California WDO Report: Downloads the state-formatted text file for that individual inspection.

  • Download California WDO PDF: Downloads a PDF version of the completed WDO inspection form.

Report Types

When filling out a WDO form in a proposal, inspectors select a report type that maps to official California DCA activity codes:

  • Original Inspection — Activity Code 1

  • Limited Inspection — Activity Code 2

  • Supplemental Inspection — Activity Code 3

  • Reinspection — Activity Code 4

  • Notice of Work Completed and Not Completed — Activity Code 5

  • Corrected Report — Activity Code 6

  • Separated Report — Activity Code 7

Findings Categories

The WDO inspection form captures findings across standard California categories:

  • Subterranean Termites

  • Drywood Termites

  • Fungus / Dry Rot

  • Other Findings

  • Further Inspection Required

Each finding can be classified as:

  • Active Infestation

  • Conditions Conducive

  • Other / Unknown

Findings are linked directly to recommendations and pricing within the proposal.

Can I use this integration if my company has multiple office locations?

Yes. Each branch can have its own license number, report numbering sequence, and delivery email address.

What format are compliance report files generated in?

Files are generated as fixed-width text files formatted to California DCA specifications and delivered as a ZIP archive. These files are suitable for direct submission or upload to state reporting systems.

How does report number sequencing work?

Report numbers automatically increment with each new proposal created. The sequence is tracked per location. You can set and adjust the starting number in integration settings.

Can I regenerate a report for a past date range?

Yes. You can generate reports for any date range up to 90 days in the past.

Will a Notice of Completion carry over if I duplicate a proposal?

No. Notices of Completion are specific to an accepted proposal and are not included when duplicating a proposal.

What should I expect during onboarding?

Because every pest control company operates differently, the California WDO integration involves a setup process to tailor the inspection forms and findings to match your specific workflows and language. This may include:

  • Custom Findings Verbiage: The inspection form contains multiple categories of findings (Subterranean Termites, Drywood Termites, Fungus/Dry Rot, etc.), each with recommendation text that your inspectors and customers will see. During onboarding, your Customer Success representative will work with you to configure this language to match how your team writes reports.

  • Recommendation and Pricing Setup: Findings are linked to your service plan pricing groups. Onboarding includes mapping your existing pricing and service items to the appropriate WDO finding categories so that accepted and declined recommendations are tracked accurately.

  • Form Layout Selection: The integration supports two standard form layouts (5 section and 11-section). Your team will select the format that best matches your current inspection process.

  • License and Location Configuration: Your company license number(s), starting report number(s), and delivery email address(es) will be configured for each of your locations.

  • Proposal Template Setup: A California WDO-enabled proposal template will be created or configured so your team can begin creating compliant inspection proposals right away.
