The Arizona TARF (Termite Action Report Form) integration allows pest control companies operating in Arizona to generate and submit regulatory reports required by the Arizona Department of Agriculture (AZDA) directly from Smarter Launch.

When a real estate transaction occurs in Arizona, state law requires a licensed pest control company to complete a WDIIR documenting any evidence of wood-destroying insects found at the property.

These reports must be submitted electronically to the AZDA’s eTARF (Electronic Termite and Pest Infestation Report Form) system in a specific XML format.

This integration automates the entire process — from filling out the inspection form inside a proposal, to generating the properly formatted XML file, to emailing it to your designated recipient.

Prerequisites

Before enabling this integration, ensure your company has:

  • An active Arizona Pest Control license number (4 digits)

  • A Qualified Person (QP) number on file with the AZDA

  • A Delivery Email Address where generated TARF XML reports will be sent (typically your Arizona reporting contact or office administrator)

Setting Up the Integration

Step 1: Enable the Integration

  1. Navigate to Settings → Integrations

  2. Find Arizona TARF

  3. Click Enable

Step 2: Enter Required Credentials

Fill in the following fields:

  • Delivery Email Address: The email address that will receive the generated XML report files.

  • Email Subject: Subject line for the report delivery emails.

  • Email Body: Body text for the report delivery emails.

  • Company Name: Your company name as registered with the AZDA.

  • License Number: Your 4-digit Arizona pest control license number.

  • QP Number: Your Qualified Person number.

  • Branch Number: Your branch identifier (default: 01).

  • Starting TARF Number: The sequence number to begin at when generating TARF numbers (default: 1).

Step 3: Save

Click Save.

Once enabled, Smarter Launch will automatically import the Arizona WDIIR form into your account and make it available inside proposals associated with your selected proposal template.

Multi-Location Setup

If your company operates multiple locations, you can configure per-location credentials so each branch uses its own:

  • License number

  • QP number

  • Branch code

  • Delivery email

  • TARF number sequence

In the integration settings, use the Locations table to:

  • Add a location and map it to an existing company location

  • Override company-level credentials for that branch

  • Set a location-specific starting TARF number

If a location override is not configured, reports will default to company-level credentials.

Using the WDIIR Form in a Proposal

Once the integration is enabled, the Arizona WDIIR form can be added to any proposal template. This will ensure that the appropriate fields are added in order to collect details required for the state form and the electronic reporting system.

Step 1: Add the Form to the proposal Template

  1. Open or create a Proposal Template

  2. Add the Arizona WDIIR form into the Forms section

Step 2: Start a New Proposal & Complete Inspection Details

Fill out all required fields, including:

  • Inspection date and report type (Original or Supplemental)

  • Reason for inspection (Sale, Refinance, Other)

  • Property type (House, Apartment, Condo, Mobile Home, etc.)

  • Whether wood-destroying insect evidence was observed

  • Description of any evidence found

  • Whether treatment was applied and/or damage was observed

  • Susceptibility notes for each wood-destroying insect category

Step 3: Send the Proposal

Send the proposal to your customer as usual.

Important:
Supplemental reports are excluded from bulk XML generation. Only Original reports are included in bulk TARF XML files.

Generating the TARF XML Report

The TARF XML report is the file submitted to the AZDA’s eTARF system.

Smarter Launch provides two ways to generate it:

Option 1: Bulk XML Generation (Recommended)

Use this to generate a single XML file containing all WDIIR reports within a date range — ideal for batch submissions.

Steps

  1. Go to Settings → Integrations → Arizona TARF

  2. Select a date range (up to 90 days back)

  3. Optionally select a specific company location

  4. Click Generate TARF XML

What Happens Next

Smarter Launch will:

  • Find proposals within the date range that:

    • Include a completed WDIIR form

    • Have a status of Sent, Accepted, or Declined

  • Assign TARF numbers to reports that don’t already have one

  • Generate a properly formatted XML file

  • Compress it into a ZIP file

  • Email it to your configured Delivery Email Address

  • Log the generation event with a download link

Date Range Limit:
Bulk generation is limited to reports from the last 90 days.

Option 2: Single Proposal TARF XML

To download XML for an individual proposal:

  1. Open the proposal

  2. Click Download TARF XML in the proposal toolbar

  3. A ZIP file containing the XML will download immediately

If the proposal does not yet have a TARF number assigned, one will be generated automatically.

Understanding TARF Numbers

Each WDIIR report submitted to the AZDA requires a unique TARF number. Smarter Launch generates and tracks these automatically.

Key Rules

  • TARF numbers are assigned per location, per day

  • The sequence increments for each report

  • Once assigned, a TARF number is permanently stored on the proposal

  • Regenerating XML does not create a new number

  • The starting sequence can be configured in settings (useful if you previously generated reports outside Smarter Launch)

Viewing Integration Logs

To review past XML generation events:

  1. Go to Settings → Integrations → Arizona TARF

  2. Scroll to Integration Logs

You’ll see:

  • Date and time of each generation

  • Number of reports included

  • Download link for the generated ZIP file

Frequently Asked Questions

What happens when I enable the integration?

Smarter Launch automatically imports the Arizona WDIIR form template into your account. It will be immediately available in proposals.

What proposal statuses are included in bulk XML?

Only proposals with a status of:

  • Sent

  • Accepted

  • Declined

Draft proposals are excluded.

Are Supplemental Reports included in bulk XML?

No. Supplemental reports are skipped in bulk generation. Use the single-proposal download if needed.

Can I regenerate XML for a report that already has a TARF number?

Yes. The same TARF number will be reused — it will not increment again.

What if my company has multiple branches?

Use the Locations table in the integration settings to configure per-branch credentials and sequences.

What is the 90-day limit?

Bulk XML generation is limited to the last 90 days to align with standard AZDA reporting windows. Older reports require single-proposal downloads.

Where is the XML file sent?

It is emailed as a ZIP attachment to your configured Delivery Email Address. You can also download it from the Integration Logs.

Troubleshooting

Issue: No proposals appear in the generated XML

Check:

  • Proposal status is Sent, Accepted, or Declined

  • WDIIR form is attached and completed

Issue: TARF numbers seem out of sequence

Check:

  • Starting TARF Number in settings

  • Whether reports were generated outside Smarter Launch

Issue: Email not received

Check:

  • Delivery Email Address is correct

  • Spam/junk folder

Issue: “Date range too old” error

Check:

  • Date range is within the last 90 days

Issue: Wrong location data in XML

Check:

  • Per-location credentials in the Locations table
