How to determine which feature I use?
If a charge is a predictable, expected part of a specific service plan, build it into the plan itself using a Pricing Option. Save Custom Line Items for one-off extras that aren't tied to any particular plan.
Use a Pricing Option when an extra charge is an expected part of a specific plan and should be automatically accounted for by every rep.
For example, if a plan may require extra visits, units, or time beyond the base price, add it directly to the plan using Add Pricing Option→ Price Per Unit rather than creating a separate Custom Line Item.
Use a Custom Line Item for occasional, job-specific charges that aren’t part of the service itself.
Examples include a Trip Charge, Disposal Fee, or Crane Rental. Since these costs only apply in certain situations, they should be added separately as needed rather than built into a specific plan.
The main difference is visibility and training.
Pricing Option appears automatically within the plan, so the rep sees it while building the quote and doesn’t have to remember anything extra.
A Custom Line Item must be added manually. The rep has to know it exists, click the + button, search for it, and select it.
TIP: That extra step is easier to forget and requires more training, while Pricing Option keeps the charge visible and built into the quoting process.
Use Pricing Option for anything predictable and specific to a plan. Use Custom Line Items only for true case-by-case extras that don’t belong to a specific plan.
Example: If a plan includes two follow-up visits in the base price, any visits beyond those two should be set up as Pricing Option within the plan:
Pricing type: Price Per Unit
Line item: Additional Visits (After First Two)
Prompt: Number of Additional Visits
Price: Set amount per visit, such as $20
If a rep enters 3 additional visits at $20 each, the system automatically calculates $60.
Keeping this pricing inside the plan makes it visible when the rep is quoting the job and removes the need to remember to add a separate Custom Line Item.
